General
What is Tootor?
It's a system for language schools that brings online contracts, the timetable and register, payments, teaching materials and a live classroom together in one place – plus a portal for teachers, students and parents. Every school uses Tootor under its own name, logo and colours.
Which schools is Tootor for?
Language schools – usually small and mid-size ones, with up to a few hundred students. The office, teachers, students and parents of young learners all work in Tootor.
Who is behind Tootor?
Tootor is made by WebsButler in Leszno, Poland. It's being built together with English Studio – the language school that was the first to test it day to day, and that sponsors the project.
Which languages does Tootor work in?
Polish and English. Every user – teacher, student or parent – picks their own language.
Is there a phone app?
Tootor runs in the browser and can be installed on a phone's home screen like an app. There's no need to download it from an app store.
Pricing and the free trial
How does the free trial work?
For 14 days every feature is unlocked. During the trial you can open up to 3 interactive materials and 3 handouts. Write to hello@tootor.app and we'll set up a panel for your school.
Are prices net or gross?
Net. VAT is added to the prices in the price list.
Who counts towards the student limit?
Every student in the system – both active and inactive.
Do I pay per teacher?
No. On every plan you can add as many teachers as you need. You only pay for the scope of features and the size of your school.
Can I pay once a year?
Yes. A year costs the same as 10 months, so you get 2 months free.
How much do text messages cost?
Text messages use prepaid credit: 0.25 PLN per message. You top up whenever you need to.
Can I change my plan?
Yes, you can change or cancel your plan at any time. All plans are listed on the pricing page.
Features
Will students and parents see the Tootor name?
No. They see your school's name, logo and colours. The panel runs at yourschool.panel.tootor.app or at your own domain, such as panel.myschool.pl.
Does Tootor create lessons with AI by itself?
No. On the Pełny plan, teachers can create exercises with help from AI: the panel gives them a ready prompt to paste into ChatGPT or Claude, then checks the result before saving it. The teacher creates the lesson, and Tootor helps them do it faster.
How do young children sign in?
With a QR card. You print the card and the child scans it on a school tablet – no password to remember.
How does automatic attendance work?
A student who signs in during their lesson is marked present. The system never invents an absence. This feature is available from the Dziennik plan up.
How do I move my data from ActiveNow?
You import courses, clients and balances in a few clicks, and the import sends no messages to anyone. See Switch from ActiveNow for details.
Data and security
Is my school's data kept apart from other schools?
Yes. Every school has its own separate database, so one school's data never mixes with another's.
How are PESEL numbers protected?
PESEL numbers are encrypted in the database (AES-256).
Does support know my password?
No. The Tootor team can help your school without ever knowing your account password.
